Search Forage, and See Why a File Was Not Read

Purpose: find documents by their words, their file name or their folder, live and archived.

1. Open Records, then Search.
2. Type your words. Put a phrase in quotes, use | for OR, and - before a word to exclude it, for example "purchase order" | invoice -draft. Press Search.
3. Narrow the results: a file type (All types by default), All, Live or Archived, and Read or not (Read, Partly read, Not read, Not read yet).
4. Choose Content and names to search document text and file names, or Folders too to match folder names as well.
5. Read each result: file name, type, live or archived, the retention and sensitivity labels Squirrel recorded, where it is with a link to open it in SharePoint, when it was modified, its size, and the passages that matched. A file in the archive is not in SharePoint until it is restored, so instead of an open link it has a restore link, which opens the Archived Files page and searches for that file there, ready for you to restore.
6. A result found only by its name says so, with the reason its content has not been read. Nothing inside that file has been searched or classified.
7. Click a result to open the Document window. It shows the matching passages, the file's details and, under Extracted text, a Show button to read the text Forage took from it. The window says how many characters it shows out of the total. For a file in the archive it shows the file's SharePoint address as text to copy and a Restore from the archive button, which opens the Archived Files page in a new tab and searches for the file there. Opening that page restores nothing; you choose where the file goes back to and confirm it there. If the file is not listed, the window says where else to look.

Good to know: every file Forage lists is searchable by its name, whether or not its content could be read, so a search on a file name finds a password-protected file as well.
