Site Overview

3 min read

The Site Overview is SharePoint Storage Explorer's tenant-wide ranking — every scanned site listed by storage size, with growth context. It is where most administrators start: spot the biggest sites, spot the fastest-growing sites, and drill in from there.

Where to find it

Site Overview is the default view when SharePoint Storage Explorer opens. If you have navigated elsewhere, click the Sites tab in the left navigation.

What the view shows

A sortable, filterable table of every site in the most recent scan, with columns for:

  • Site URL — the full SharePoint URL.
  • Site title — the friendly display name.
  • Total storage (GB) — the storage the site occupies.
  • File count — total files in the site (across all libraries).
  • Owner — primary site owner where available.
  • Last modified — when the site was most recently touched.
  • Growth trend — change vs the previous scan (if you have more than one scan in history).
  • Versions storage — what the version history is contributing (uses site-level estimate unless you ran with file-level versions enabled — see light vs deep scan).

Common workflows

Find the biggest sites

The default sort is Total storage descending. Scroll the top of the list — the storage hogs sit at the top.

Find the fastest-growing sites

Sort by the Growth trend column. This is your early-warning list for sites that will hit quota soon if nothing changes. Requires at least two completed scans for the trend to be meaningful.

Find sites with disproportionate version storage

Sort by the Versions storage column. Sites at the top are spending a large fraction of their total on retained versions — often a configuration issue worth investigating (sites with extreme version retention policies, sites where users edit large binaries in-place rather than uploading new files, etc.).

Find inactive large sites

Filter by Last modified older than 12 months, sort by Total storage. The top results are large sites that nobody has touched in a year — strong archive candidates for Squirrel or for site retirement.

Drill into a specific site

Click any row. The view switches to the document library view for that site, showing per-library breakdown.

Filtering

The filter bar above the table supports:

  • Site URL or title contains — substring match.
  • Owner contains — narrow to one team's sites.
  • Storage range — minimum and maximum GB.
  • Site type — Team Site, Communication Site, Group, etc.

Filter combinations are AND-ed; combine site type with a storage minimum to find "all Team Sites larger than 100 GB" in one step.

Exporting

The Site Overview supports CSV export via the Export button in the top action bar. The CSV preserves every column shown plus a few extra (the SharePoint site GUID, the template type identifier) for downstream analysis in Excel or a BI tool.

For board-ready PDF / Word formats see reporting.
