Reporting and Exports

SharePoint Storage Explorer produces two kinds of report output: per-view CSV exports for analyst work, and assembled multi-section summaries (PDF / Word) for management or change-review boards.
Per-view CSV exports
Every data view in the tool has an Export button in its top action bar:
- Site overview — every site with size, owner, growth, version contribution.
- Document library view — every library in the selected site.
- File browser — every file under the selected folder (recursive).
- Top 100 files — the 100 largest files tenant-wide.
- File-type breakdown — every extension with counts and sizes.
CSV exports preserve every column shown plus a few extra metadata fields (GUIDs, internal type identifiers) useful for downstream analysis.
Assembled summary reports
The Reports tab in the left navigation produces multi-section documents intended for human readers — management presentations, IT steering papers, board updates.
Three pre-built report types ship:
Tenant summary
A 5 to 10 page overview covering:
- Tenant total storage and growth trend (vs the previous report period).
- Top 10 largest sites with size and growth.
- Top 10 fastest-growing sites.
- File-type breakdown chart.
- Top 20 largest files.
- Recommendations section (auto-generated cleanup pointers based on the scan findings).
Use for: management briefings, IT-leadership status updates.
Site-detail report
A per-site deep dive covering:
- Site total storage and growth.
- Per-library breakdown.
- Top 20 largest files in the site.
- File-type breakdown for the site.
- Owner contact details.
Use for: hand-off to a site owner who needs to clean up.
Cleanup-targets report
A focused list of high-value cleanup candidates:
- Top 100 largest files in the tenant with site and owner context.
- Sites larger than X GB that have not been modified in 12 months.
- Files older than 2 years that are larger than 100 MB.
- Suggested archive targets (sites that would benefit most from automated archiving).
Use for: feeding a cleanup project plan, planning a Squirrel archive policy rollout.
Output formats
Each report can be generated as:
- PDF — for distribution, print, or attaching to email.
- Word (.docx) — for editing before distribution.
Branding the report
The report header includes your company name (taken from the contact details entered during first-time configuration). To change it, update contact details from the Settings tab and regenerate.
Scheduling reports
The current version does not include scheduled report generation — you run reports on demand. For monthly or quarterly cadence, set a calendar reminder and run from the Reports tab on each occurrence.
